How to Automatically Generate and Send Reports with AI
You can automate report generation and delivery through three main approaches: Power BI's built-in scheduled refresh and email subscriptions (simplest, no coding), Power Automate connected to the Power BI export API (more flexible, still within the Microsoft ecosystem), or n8n with a data API and an AI-generated summary (most flexible, works with any data source). The right choice depends on whether you are already using Power BI and how much custom logic the report requires.
Automating report delivery saves time and ensures stakeholders receive consistent, timely updates without manual effort. Here are three practical architectures, with a step-by-step guide for the most flexible option.
Why Automate Reports
Consistent delivery, less manual effort, and fewer errors are the main reasons. When reports run on a schedule, stakeholders receive them whether or not someone remembered to send them. When an AI model generates the narrative summary, you do not need an analyst to interpret the numbers before sending. When the workflow fetches live data, the numbers are always current. The three architectures below scale from simple to flexible, so you can choose the level of investment that matches your situation.
Approach 1: Power BI Subscriptions
The simplest option if you already use Power BI. In the Power BI Service, open any report or dashboard and set up an email subscription. You choose the recipients, the schedule, and whether to include a snapshot image or a PDF export. The subscription runs on Power BI’s infrastructure, requires no code, and works well for straightforward delivery of static snapshots. The limitation is that the email contains only what the report visually shows at that moment: there is no AI-generated narrative, no dynamic recipient logic, and no integration with data outside Power BI. See what Power BI is for a primer on the platform.
Approach 2: Power Automate and the Power BI Export API
Power Automate can trigger the Power BI export API to generate a PDF or PNG of a specific report page and email it as an attachment. This gives you more control: you can trigger the export based on a business event rather than only on a fixed schedule, and you can vary the recipient based on data in the workflow. It stays within the Microsoft ecosystem and requires moderate Power Automate knowledge. The limitation is that it still exports a static image: an AI-generated narrative requires an additional step.
Approach 3: n8n with Data API and AI Summary
The most flexible approach works with any data source and any email provider. An n8n workflow fetches data from your source, passes it to a language model to generate a narrative summary, formats the result into an email, and sends it on a schedule. This is not tied to Power BI: it works with any database, REST API, or spreadsheet. The AI summary makes the email more useful than a static screenshot because it highlights what changed, what is notable, and what action might be needed. The steps below walk through this approach in detail.
Our tip: Start with Power BI subscriptions if you already have a Power BI report that covers the information you need. Only move to a more complex approach when you need AI summaries, dynamic recipients, or data sources outside Power BI.
